Configuring Outlook 2003 for your Exchange Account

NOTE: This can require advanced technical experience, please be sure that your IT support staff have not already completed the configuration for you.

Preparation

  1. Verify that your account was created and that you have all information regarding your new Exchange account.
  2. Configure your Columbia email to forward to your new Exchange account by following the steps on this site.
  3. Make sure that your Outlook program has received all of its software updates by visiting http://officeupdate.microsoft.com using Internet Explorer.
    NOTE: you may need administrative rights on your computer to run all updates. If you are not able to run updates, please log in to eSupport for assistance.

Configuring Outlook 2003

  1. Do not start up Outlook - close the program if you have it open.
  2. Select the Start button in the lower left corner of your computer, then Control Panel. Select the Mail icon.
    • If your Control Panel shows a short list of categories under the heading Pick a Category rather than a long list of options, you will have to select User Accounts first, then Mail.
  3. In the Mail Setup window, select the Show Profiles button.

  4. The Mail window will appear:

    If you are configuring your Exchange account on a shared computer or you would like Outlook to prompt you to select an account every time you start the program, select Prompt for a profile to be used. If not, you select Always use this profile to have Outlook launch straight into your Exchange account.

  5. Select the Add button.

  6. In the New Profile window, type in any profile name that would be logical for you (your UNI, "CUMC Exchange", etc.). This is what will appear whenever Outlook begins if you selected Prompt for a profile to be used in Step 4 above.

  7. Click the OK button in the New Profile window. The Email Accounts window will appear.

  8. Select Add a new e-mail account, then Next.

  9. In the next window, select Microsoft Exchange Server and Next.

  10. At the next window, type cuit-exchange2.ais.columbia.edu in the Microsoft Exchange Server field.

  11. De-check the Use Cached Exchange Mode box, and enter your name or UNI in the User Name field.
  12. Click on the Check Name button. You may have to wait a few moments as the Exchange server is contacted.
    • If the Connect to cuit... window appears, you will need to enter your work domain (server that your work computer logs in to), user name and password.
      • Common domains are CENTRALADMIN, DEPARTMENTS, etc.
      • This window should only appear if you are not currently logged in to a CUbhis managed domain on your computer.
    • When logging in to the Connect to cuit... window, use this format:

      1. User name: mydomain\myusername (example: centraladmin\abc1234)
      2. Password: type in your Domain password, typically the one that you use to login to your work computer
      3. If you are not on a shared computer and would like Outlook to save this information, check Remember my password. If you change your Domain password in the future, it will have to be manually updated here as well.
      4. Click the OK button to continue.
    • This format is what must also be used when logging into the Exchange web-based client, Web Outlook.

  13. If Outlook is successful in finding the account, your name will appear underlined in the User Name field. If not, change the Microsoft Exchange Server field to read cuit-exchange3.ais.columbia.edu or cuit-exchange1.ais.columbia.edu instead, and select Check Name again.
    NOTE: If you are unsuccessful in completing this step, please verify that your Exchange account was created. You will not be able to configure Outlook for Exchange otherwise.

  14. Select Next, then Finish.

  15. The profile you've just created will appear in the middle of the Mail window. Select Apply, then OK to close the window and save the configuration. You will be returned to your computer desktop.

  16. Open Outlook (Start - All Programs - Microsoft Office - Microsoft Outlook 2003). If you chose to be prompted in Step 4 above, you must select your profile from the drop down menu in the window that will appear and hit OK. If you did not save your Domain password in Step 11, you will be prompted to type it in as Outlook opens.

  17. Outlook will open and connect to your Exchange account.
